Vacation Signup Steps
STEP 1
Sign Up for a trip
Sign up by mail, email, fax or phone, and Special Journeys will hold a place for you. Each trip type has its own sign-up deadline:
• Bus trips: 21 days before the trip
• Flight trips: 45 days before the trip
• Cruise trips: 95 days before the trip
Occasionally certain trips may have an earlier deadline date due to limited availability or other unique factors. The exact deadline date for each trip can be found on our website. If a trip is sold out the website will be updated to reflect this information.
STEP 2
Send in Deposit payment
Your deposit is due within 14 days of signing-up. Special Journeys will send you a confirmation.
STEP 3
Send in Traveler Application & Release form
The Traveler Application form provides us with your contact information and information about the care you need. If we have a Traveler Application document from you that is less than 5 years old, we only need to know if something has changed. The signed Release form gives us permission to include you on the trip. The due date for these documents is based on the trip type:
Bus Trips: 14 days before the trip
Flight Trips: 30 days before the trip
Cruise Trips: 45 days before the trip
STEP 4
Receive Pre-Trip forms
4-6 Weeks before your trip departure, Special Journeys will send you a Pre-Trip forms to fill out and return to us. The Pre-Trip form gives us the most up-to-date information about your contacts and health.
The deadline to return your completed Pre-Trip forms is 14 days before departure for all trip types.
STEP 5
Send in Payment balance
The due date for full payment or an approved payment plan is based on the type of trip:
• Bus trips: 14 days before the trip
• Flight trips: 21 days before the trip
• Cruise trips: 91 days before the trip
STEP 6
Itinerary & Pick-Up Time
1-2 weeks before your trip departure, Special Journeys will send you an itinerary that tells you all you need to know about when each trip activity will happen, along with the time we will pick you up. If circumstances – like weather – require plans to be changed, we will let you know as soon as we know.
